Freight security is often discussed in terms of tracking and visibility.

But one of the most overlooked risks in the supply chain is how documentation is handled.

While most industries have transitioned to fully digital transactions, transportation still relies heavily on manual paperwork such as bills of lading, proof of delivery documents, and signed shipping paperwork. That gap creates a level of exposure that many organizations underestimate.

Manual Freight Documents Create Security Gaps

As Victor explains, nearly every major transaction today is handled digitally.

Buying a house, purchasing a vehicle, or even making everyday purchases are all processed through secure digital systems. These systems create traceability, verification, and accountability.

In contrast, freight operations still rely on paper-based documentation such as bills of lading, proof of delivery documents, and manually signed freight paperwork for shipments worth hundreds of thousands of dollars.

This creates a clear inconsistency.

These documents are often printed, signed, passed between parties, and later scanned or re-entered into internal systems. At each step, the process becomes harder to verify and easier to manipulate.

That is where fraud can occur.

Paper-Based Documentation Is Difficult to Verify

One of the core issues with traditional freight documents is the lack of reliable verification.

A handwritten signature on a bill of lading or proof of delivery does not confirm identity. It does not validate who signed the document or whether that individual was authorized to handle the shipment.

He also pointed out that this creates a significant gap in freight security.

Many organizations still rely on a name written on paperwork, a signature that cannot be authenticated, and documents that can be altered, copied, or recreated.

These paper-based processes create a false sense of control.

Without a way to connect documentation to a verified individual, companies are relying on assumptions instead of enforceable controls.

Digital Documentation Connects Identity to the Shipment

Digital documentation changes how freight documents function.

Instead of relying on paper bills of lading or proof of delivery forms, digital systems capture and store documentation in a way that ties each action to a specific, verifiable individual.

This includes electronic bills of lading, digital proof of delivery, and other digitally captured freight documents that can be tied to the shipment record.

Victor explains that these systems can capture device data, location data, IP addresses, and other identifying information connected to the person completing the transaction.

In many cases, digital signature processes also require identity verification before a document can be completed.

This transforms documentation from a static record into a verified event.

Instead of asking, “Was this signed?” the better question becomes, “Who signed this, and can we verify it?”

The Print and Recapture Process Adds Cost and Risk

Security is only one part of the issue.

Paper-based documentation also creates major operational inefficiencies.

In many organizations, freight documents are printed at pickup or delivery, signed manually, scanned or photographed, and then re-entered into internal systems.

It is also mentioned that printing documents is one of the biggest inefficiencies in the process.

This workflow slows down invoicing, increases labor costs, and creates more opportunities for error, disorganization, and manipulation.

By contrast, digital documentation allows freight records to move directly into internal systems such as ERP platforms, enabling faster invoice creation and better process control without manual recapture.

Why Freight Security Requires Digital Documentation

Freight security is not just about tracking shipments or verifying identities.

It is also about ensuring that critical documents like bills of lading and proof of delivery are secure, verifiable, and tied to the right individuals.

Paper-based documentation creates gaps that cannot be easily audited or trusted.

Digital documentation closes those gaps by linking documents, identities, and shipment activity into a single system of record.

Cargo Theft Is Organized and Strategic

Cargo theft is no longer a random or isolated event. It is part of a broader, highly organized system.

According to Victor, these operations are often connected to larger criminal networks involving activities like drug trafficking, weapons movement, money laundering, and extortion. In some cases, individuals involved in freight theft are being exploited themselves, pressured or forced into participating through threats or coercion.

This is not opportunistic crime. It is coordinated, intentional, and designed to operate within the structure of legitimate supply chains.

That is what makes it difficult to detect.

Fraud Often Operates Inside Legitimate Businesses

One of the biggest misconceptions in freight is assuming that fraud comes from outside the system.

In reality, many bad actors operate within legitimate businesses. They may run real trucking companies or brokerage operations while using fraud as a secondary or primary source of revenue.

From the outside, everything appears normal.

The company has credentials. They have history. They may have completed legitimate shipments before. That creates a level of trust that allows them to continue operating without scrutiny.

This is where many companies develop false confidence. They believe they are working with trusted partners, when in reality, they are exposed to layered risk within those relationships.

Layered Handoffs Create Blind Spots

Modern freight moves through multiple parties.

A shipper may hand a load to a broker. That broker may pass it to another individual. Each additional handoff reduces visibility and weakens accountability.

Shippers often assume that because they trust the first party in the chain, the entire process is secure. They believe responsibility can be traced back to that initial relationship.

But in practice, the shipment may pass through several unknown hands before it reaches its destination.

These layered handoffs create blind spots where fraud can occur without immediate detection.

You Are Still Accountable When Things Go Wrong

One of the most important points in the video is accountability.

Even when multiple parties are involved in moving a shipment, responsibility does not transfer away from the shipper.

If a product is stolen, altered, or compromised, the impact falls on the company whose name is attached to the goods.

If a shipment is tampered with and causes harm, it is not the broker or the bad actor who faces the consequences first. It is the brand that owns the product.

This is where cargo theft becomes more than a financial issue. It becomes a risk to reputation, customer trust, and long-term business relationships.

Why Tracking Alone Won’t Stop Cargo Theft

Tracking your cargo is an important part of freight operations. It provides visibility into where shipments are and helps logistics teams monitor progress from pickup to delivery.

Because of this, many companies assume that if a shipment is being tracked, it is also secure.

But organized cargo theft does not work that way.

Criminal groups understand how tracking systems operate, and many of them know how to manipulate those systems. They know where tracking devices are placed, how location updates are transmitted, and how to create the appearance of normal movement even when something is wrong.

The result is a dangerous illusion of security. A shipment can appear perfectly normal in a tracking system while the freight itself is being diverted, altered, or partially stolen.

In the video below, Load Secure founder Victor Louis explains why tracking alone cannot stop cargo theft and why modern freight security requires a more structured approach.

Tracking Devices Can Be Manipulated

Tracking technology plays a valuable role in freight visibility, but it does not guarantee the shipment itself is protected.

Bad actors often know exactly how these systems work. If a tracking device is attached to a trailer or piece of cargo, it can simply be removed. A criminal can take the tracker somewhere else entirely while the actual freight moves in a different direction.

From the system’s perspective, nothing appears unusual. The tracker is still moving, location updates are still coming through, and operations teams may believe the shipment is progressing normally.

In more advanced cases, criminals do not even need the physical device.

Some organized groups use software tools known as emulators, which simulate a mobile phone on a computer. These tools can send location updates that look identical to legitimate device signals. Many tracking platforms cannot distinguish between a real mobile device and an emulated one.

When this happens, a system may continue receiving location updates that appear valid even though the shipment itself has already been compromised.

Cargo Theft Often Happens Through Document Manipulation

Tracking vulnerabilities are only one part of the problem.

Cargo theft frequently occurs through documentation manipulation rather than direct hijacking. A driver may pick up a shipment normally from a facility and receive the required paperwork for transport.

Once the shipment leaves the facility, criminals may alter the documentation and remove part of the cargo during transit.

This tactic is often referred to as “skimming” a shipment. Instead of stealing the entire load, thieves remove a portion of the goods and adjust the paperwork to make the shipment appear legitimate.

When the delivery arrives, the documentation may show that fewer goods were shipped in the first place. The discrepancy may not be discovered immediately, especially if the shipment moves through several operational checkpoints.

By the time the issue is identified, it may be weeks or even months later. At that point, determining exactly where the loss occurred becomes extremely difficult.

Freight Security Requires Multiple Controls

According to Victor, preventing cargo theft requires more than a single tool or piece of technology.

Effective freight security comes from combining multiple controls that work together throughout the shipment lifecycle.

Amidst frequent fraud and infrequent updates, many customers require their third-party logistics providers to share location tracking with them. Load Secure Increases Access to Visibility

Some companies would rather not sign a 3-year, $60k minimum annual spend contract for location tracking with minimum support and not much innovation. How it Works

Those wishing to utilize spot tracking can go to the spot tracking page where they will first pay for the load to be tracked. This helps provide a layer of security. After payment, they are brought through an order creation process. They will enter the order’s information, the driver’s phone number, and any notes needed for the driver.

After the order is created, the driver receives a text message with a link to install the app. They install the app securely and allow their location permissions. At the same time, you receive a link to your email that has the live location displayed on the map, provides breadcrumbs, an activity log, order information, and ETA, and more.

Avoiding Friction

Load Secure offers the same level of support to spot tracking customers as it does to their regular users. Support is available to both drivers and users through chat, phone, and email. Load Secure believes if visibility isn’t accessible, there’s not much point to it.

While the process to set up orders and access the app and tracking links is simple, the team at Load Secure understands issues and questions arise, so they strive to be available 24/7 for support.

Texting and driving – 9 out of 10 people would agree this isn’t a controversial topic. The 1 person who has a different opinion works in logistics – “as long as the driver isn’t driving”, there are valid reasons why messaging with drivers can be a great route.

The Broker’s Take

Whether it’s a broker or dispatcher that is communicating directly with the driver, it’s safe to say that they are making a lot of phone calls throughout the day. So sparing a phone call by sending a quick message is typically a win.

However, that is not the only feat in support of messaging drivers. With messages, you have a paper trail. If a driver says they won’t drop off at a location over the phone, you can’t prove this. If it is sent over text, you can. It also is beneficial to have read receipts to be able to prove that a driver did in fact receive a piece of information.

Many brokers would also prefer that the driver does not have their personal cell phone number. Utilizing messaging platforms such as Load Secure allows for simple and secure messaging, that can be accessed by anyone within the company. This lessens the burden on a single broker – communicating with the driver can be a team effort when needed.

What Drivers Think

While most drivers answer phone calls while driving, perhaps through a bluetooth headset or utilizing their cab’s speakers, virtually no drivers are comfortable texting while driving (we hope not). So for drivers, receiving communications through text can sometimes be a bit of a hassle, especially if they don’t have technology in their vehicle enabling a hands-free approach.

Having to completely stop driving to be able to answer a text message can be frustrating, and if they have to wait for a response, even more so. However, there are some benefits for drivers using messaging features.

Language barriers are something that many within the industry are all-too-familiar with. Utilizing a messaging feature allows for translations to be made so that the driver and broker can better understand one another. When English isn’t your first language, having one less challenge a day can be a great relief. 

Load Secure currently has localization for multiple languages such English, Spanish, French, German, Russian, Hindi, Urdu, Arabic, and more. This means that navigating through the app is simple for all drivers, regardless of their language. Currently drivers are able to copy and paste messages they receive into a translator, but Load Secure hopes to introduce in-app translations in the near future.

Messages can also open up the driver’s time to allow them to respond when it is convenient for them, within reason. While brokers and dispatchers would prefer for drivers to always answer immediately, it is not always convenient. Drivers may be in challenging traffic, taking a bathroom break, or at a really good part of a podcast.

How Load Secure Works for Both

Load Secure provides brokers with an excellent messaging tool. Users can message drivers directly from the portal, see read receipts, and pass messages to their co-workers. There is also the ability for support to join a chat if there is ever a technical issue.

Brokers can custom set their notifications to determine if they want to be alerted of new messages, and for which orders. Enabling this for teams can ensure that someone is always aware of the status of an order.

The messaging tool supports drivers in a few ways as well. For one, there are no motion restrictions. While restricting messages to be accessed only while the driver is not in motion helps combat texting and driving, there is technology that allows drivers to access their messages without diverting their attention from the road.

Some drivers have text-to-voice and voice-to-text features enabled either within their cab or via a headset, which can allow them to communicate via messaging safely.
